The BC Dairy Administrative Coordinator plays a key role in ensuring smooth office operations, board administration support, supporting internal & external communications, and assisting with HR-related tasks. KEY RESPONSIBILITIES
Office Administration & On-Site OperationsEnsure the office is well-organized, welcoming, and running efficiently. Collaborate with the BC Milk Marketing Board counterpart to support daily operations. Manage office space, assist visitors, and oversee general upkeep. Help coordinate joint organizational meetings, events, and team-building activities.
- Organize meetings, travel, and events, including venue booking, materials preparation, and logistics.
- Ensure smooth execution of meetings and events, from setup to teardown.
- Maintain and update CRM databases for accuracy and efficiency.
- Handle general inquiries via email and phone, ensuring timely and professional responses.
- Assist in drafting, editing, and distributing communications.
- Identify process improvements to enhance administrative efficiency.
- Assist with board administration, including governance documents, meeting coordination, and correspondence.
- Track board membership, terms of service, and committee assignments.
- Support governance and board development activities in collaboration with the Director of Corporate Services.
- Assist with HR administration, including onboarding/offboarding, maintaining employee records, and updating policies.
- Support recruitment logistics, ensuring a smooth and organized hiring process.
- Prepare HR-related reports and track key metrics to support data-driven decision-making.
- Contribute to the People & Culture engagement plan, assisting with internal HR communications and coordinating social and team-building activities to foster a positive workplace culture.
- Ensure the workplace remains safe and compliant with health and safety policies.
- Identify risks and participate in the Health & Safety Committee.
QUALIFICATIONS
Education & Experience- Minimum 3–5 years in office administration, corporate services, or a similar role.
- High school diploma required; post-secondary education in business administration, office management, or a related field preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience supporting senior leadership, managing confidential information, and coordinating meetings and events.
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- Ability to work independently and anticipate needs.
- Strong problem-solving and customer service orientation.
- Adaptable to shifting priorities and multiple deadlines.
- Project management or process improvement experience.
- Familiarity with CRM tools (e.g., HubSpot) or project management software (e.g., Asana).
- Knowledge of board governance, compliance tracking, or corporate records management.
- Financial tracking or budget coordination experience.

Compensation
